Terms and Conditions for Ignite Wellness Personal Training Services

Welcome to Ignite Wellness. By purchasing and participating in any of our services, you agree to the following terms and conditions.

1. Membership Packages
1.1 Membership Structure
  • Our membership is based on a 52-week year with 46 weeks of service delivery, allowing for both client and trainer holidays, as well as a one-week break during the Christmas period.

1.2 Commitment Period
  • All memberships require an initial commitment of three (3) months.

  • Membership fees are paid monthly in advance and are for the agreed amount between you and Ignite Wellness.

1.3 Payments
  • Membership fees will be due on the same date each month based on the date of your first payment.

  • Payments will be automatically renewed unless you provide written notice of cancellation at least 30 days before the end of the initial 3-month commitment period or any subsequent monthly period.

1.4 Holiday Periods and Service Delivery
  • The membership includes service for 46 weeks out of the 52-week calendar year.

  • Both trainer and client are entitled to holidays within this 46-week period, and this is factored into the membership structure.
     

2. Booking System and App Usage
2.1 Trainerize ABC App
  • Ignite Wellness uses the branded Trainerize ABC app for all booking and scheduling of training sessions and classes, as well as for providing personalised training plans, tracking progress, and updating clients on their fitness goals.

  • All clients are required to download the Trainerize ABC app from the Apple App Store or Google Play Store to access their training plans, schedule sessions, and communicate with their trainers.

2.2 Self-Booking System
  • Through the Trainerize ABC app, clients can self-book group classes. All bookings are made on a first-come, first-served basis, and availability is updated in real-time via the app.

  • Clients are responsible for ensuring that their bookings are accurate and confirmed within the app. Changes or cancellations must follow the policies outlined below.

2.3 Training Plans and Progress Tracking
  • All training plans will be delivered via the Trainerize ABC app, where clients can view their workouts, track progress, and receive updates from their trainers.

  • Progress, including workout history, body metrics, and performance milestones, will be recorded and updated regularly in the app to ensure that clients stay on track with their fitness goals.
     

3. Cancellation and Rescheduling Policies
3.1 Membership Sessions
  • As membership is structured around a 46-week delivery period, the sessions are pre-scheduled and cannot be cancelled but may be rescheduled in agreement with the trainer and client with adequate notice.

3.2 Pay-As-You-Go Sessions and Classes
  • You may reschedule a session/class if notice is given more than 24 hours before the scheduled time. In this case, the credit will be retained for future use.

  • If notice of cancellation or rescheduling is provided less than 24 hours before the scheduled session/class, the credit for that session will be forfeited, and no refund will be given.
     

4. PAR-Q Form Requirement
4.1 Pre-Training Requirements
  • All clients are required to complete a Physical Activity Readiness Questionnaire (PAR-Q) form prior to the commencement of any training or participation in any classes.

  • The PAR-Q form must be filled out honestly and thoroughly to ensure that Ignite Wellness can design a safe and effective program tailored to your health and fitness needs.

4.2 Renewal of PAR-Q
  • Clients are required to renew their PAR-Q form periodically, as indicated by Ignite Wellness. This renewal may be requested if there have been any significant changes to your health, fitness, or medical conditions, or if a set time has passed (e.g., annually).

  • Failure to complete or renew the PAR-Q form may result in the suspension of training services until the form is submitted.
     

5. Privacy and Data Protection Policy
5.1 Data Collection
  • Ignite Wellness collects and stores personal data, including but not limited to your name, contact information, health information (as provided in your PAR-Q form), and payment details. This information is collected for the purpose of providing you with personal training services and ensuring your safety during training.

5.2 Data Usage
  • Your personal data will be used solely for the purposes of delivering our services, processing payments, and communicating with you about your membership or session bookings.

  • Data entered into the Trainerize ABC app will be used to provide personalised training plans, track progress, and maintain records of your sessions. Ignite Wellness will not share your personal data with third parties unless required to do so by law or with your explicit consent.

5.3 Data Security
  • Ignite Wellness is committed to protecting the confidentiality and security of your personal data and will take all necessary steps to ensure that your information is stored securely and handled in accordance with applicable data protection laws.
     

6. Promotional Photography and Videos
  • Photographs and/or videos may be taken from time to time during training sessions, classes, and events for promotional purposes only. These may be used on the Ignite Wellness website, social media platforms, or in other marketing materials.

  • If you do not wish to appear in any advertised promotion, you must inform a member of staff at the time the content is captured. If no notice is provided, Ignite Wellness will assume you have consented to appear in promotional materials.
     

7. Refund Policy
  • Refunds for membership payments are not offered due to the structure of the membership program. Once a payment has been made, no refunds will be issued.

  • Refunds for pay-as-you-go sessions/classes will not be granted unless due to an error on the part of Ignite Wellness (e.g., trainer absence).
     

8. Health and Safety
  • Clients are responsible for informing Ignite Wellness of any changes to their health or fitness status between PAR-Q form submissions. This includes, but is not limited to, any injuries, surgeries, or new medical conditions.
     

9. Guidelines for Minors
  • Under 16’s: An adult must accompany all 14 to 16-year-olds during any training sessions or classes.

  • 16 to 17-year-olds: 16 to 17-year-olds can attend unaccompanied if approved by a member of the Ignite Wellness team and if written consent is provided by a parent or guardian.
     

10. Client Responsibilities
  • Arrive on time for all sessions and classes. If you are late, the session will still end at the scheduled time, and no make-up time will be provided.

  • Engage in sessions and classes in a safe and responsible manner.
     

11. Trainer Obligations
  • Ignite Wellness will provide a professional, safe, and supportive environment during all training sessions and classes.

  • Sessions will be designed to meet the agreed goals and needs of each individual client.
     

12. Termination of Membership
  • Membership can be terminated at the end of the initial 3-month commitment period by providing 30 days' written notice. After the initial period, the membership will continue on a month-to-month basis until cancelled with 30 days' notice.
     

13. Changes to Terms and Conditions
  • Ignite Wellness reserves the right to amend these terms and conditions at any time. Clients will be informed of any changes in writing at least 30 days prior to implementation.
